We are looking for an experienced and enthusiastic Medical Secretary to join our dedicated team.

The Medical Secretary reports to and receives direction from the Operations Manager. Works cooperatively with the leadership team and any multidisciplinary teams, supervisors, administrators, physicians, and allied health staff as well as clients. Supports the health care provider by anticipating and responding to client needs and requests of the health care team. Allows care providers to focus on patient care by coordinating details of client visits which include: activities of the care providers, managing the flow of patient materials, communicating scheduling delays or changes to the appropriate individuals, and serving as a direct contact and resource to the client.
This position is located in London. Qualified candidates must be eligible to work in the U.K.. Relocation is not provided.
Performs a variety of secretarial tasks in support of physicians and other allied healthcare providers. These tasks may include supporting providers in submission and receipt of eHealth consultations; maintaining care provider calendars; scheduling meetings; preparing presentation materials; creating and distributing professional memos and letters; taking minutes; answering telephones and providing related follow up; coordinating patient appointments related to eHealth activities; maintaining the electronic medical record; filing; preparing reports; making travel arrangements; processing reimbursement for travel and other professional expenses; maintaining records for continuing medical education; and transcribing medical correspondence as well as research and administrative documents. Receives and screens patients and guests both on the phone and in person, directing appropriately. Strong organizational and communication skills, a commitment to quality and excellence in service, initiative, proficiency, and good judgment in optimizing the use of physicians' and other allied healthcare providers' time are important components of the role.
Successful completion of a vocational diploma in a medical secretary, medical administrative assistant, administrative assistant, medical transcription, business related or medical related program or a minimum of two years' of relevant experience in an office support role such as a medical secretary, administrative assistant or medical transcription performing secretarial duties. Individuals without relevant medical education will be required to successfully complete a form of relevant training soon after starting job.
Competency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, etc.), managing calendars, creating correspondence/reports/presentations, database/spreadsheet management, coordinating travel, etc. Excellent application of grammar, punctuation, and English usage. Should be able to understand diverse accents and speech variations. Must possess a high-level skill in organization, clerical aptitude, and attention to detail, excellent written and oral communication skills, and interpersonal relations. Requires good decision-making and judgment. Requires the ability to prioritise work and follow through independently, handle a variety of tasks, and work collaboratively and professionally. Must be able to adapt to a rapidly changing environment. Proficiency in the use of technical office equipment (computer, printers, dictation equipment, phone system, fax machine, etc.) Medical secretary and/or transcriptionist work experience, experience with secretarial/clerical software, and basic math skills, preferred.
Education, experience and tenure may be considered along with internal equity when job offers are extended.
Hours / Pay period
40 hours per week.
Hours for this position are Monday – Friday, daytime hours - 40 hours per week.
