Responsibilities
The Director provides administrative leadership and strategic direction for the team managing engagements and appearances on behalf of Mayo Clinic executives. The Director is responsible for implementing, executing and evaluating strategies focused on raising executive visibility inside and outside the organization.
This individual serves as a key partner to sites, shields and administration, and collaborates with senior leaders to drive innovation, challenge the status quo and implement solutions and programs to advance priorities. Responsible for ensuring deliverables are met and outcomes achieved. Works across the department to ensure a shared and single voice with customers. Establishes and maintains strong customer relationships with both internal and external partners. The Director helps to optimize operational performance. Serves as a thought partner and project liaison outside of the department at all levels, helping to proactively identify and communicate business issues, coordinate project activities, streamline strategy approaches/methodologies, and share best practices. Stewards the interest of the organization by ensuring strategies are viable.
The Director provides leadership, guidance, counsel and direction to staff. The Director is responsible for managing, coaching and mentoring team members and ensuring the teams achieve performance standards. Fosters an internal culture of positive teamwork and transparency that drives excellent service, quality, diversity of thought, an engaging work environment and overall continuous improvement mindset. Serve as change agent, championing agile ways of thinking and working and enabling teams and individuals for success.
Drives excellence in communication (verbal, written and presentations), business and strategic planning, performance monitoring, fiscal responsibility and reporting. Supports department, division and institutional projects, staff recruitment, policy implementation and budget management.
Qualifications
Required: Bachelor's degree and 10 years’ experience, or Master's degree and 7 years’ experience. Deep experience supporting executives, writing on behalf of executives, and managing engagements for various audiences including board meetings, staff meetings, and external conference presentations. Must possess high personal motivation supporting a strong work ethic, flexibility, and creativity. Must possess the ability to inspire trust and confidence from executive leadership, and maintain a high degree of professionalism and confidentiality. Master's Degree preferred. Strong written and oral communication skills. Ability to communicate in a way that creates clarity, simplifies messages, and aligns with organizational strategy. Knowledge of channels for communication and the ability to build effective communication and engagement strategies. A comprehensive knowledge of events planning and execution including securing venues, negotiating with external contractors, and implementing and following through on tight timelines may be needed. Strong attention to detail. Expert problem-solving, time management, and written and oral communication skills. Ability to build effective event strategies, supporting business needs and objectives.
Must be a self-starter with the ability to independently identify opportunities, solutions and resolve challenges. Demonstrated ability to deliver impactful results. Requires an attitude that actively seeks out change, embraces critical questioning, innovation, service and continuous improvement. Must understand how to navigate ambiguity, and act without having the total picture. Adaptable and flexible. Demonstrated professionalism and ethics, with ability to earn credibility through integrity and transparency. Role model for service excellence. Motivates others by being present, engaged, attentive, invites diverse perspectives, demonstrates and inspires a collaborative spirit. Strong alignment with Mayo's core values. Must possess strong leadership, business, analytical, oral and written communication, presentation skills, and superior interpersonal skills to facilitate effective relationships both within and outside of Mayo Clinic.
Successful history of working effectively in a complex, matrixed and collaborative environment that expects and promotes teamwork. Strong strategic judgment. Ability to evaluate and improve upon existing processes and develop/implement new processes where appropriate. Must demonstrate ability to manage sensitive/confidential/proprietary information. Ability to work across an organization with excellent communication and customer service orientation. Ability to prioritize and communicate priorities in alignment with strategy. Position requires occasional travel and the flexibility to work weekends and evenings as necessary.
