Responsibilities
In this role, the Executive Events Manager is responsible for planning, implementation and success criteria of Executive Office events, largely on behalf of executive leadership, occurring across the Mayo Clinic enterprise. Direct and indirect project and event management responsibilities with a focus on high-touch, executive level events. Ensures that events align with the institution and departmental mission, vision and objectives. This position assists with strategy development and execution, venue selection, vendor management, and the overall Executive Office event management process. Along with colleagues, the individual is responsible for visual creation based on enterprise strategy and collaborating with leadership and key business partners across the enterprise in the planning, directing and executing of internal and external facing meetings and events that are strategically aligned with the Office of the President and CEO. Accountable for maintaining strong internal and external communications with all event stakeholders and managing and growing partnerships with outside vendors as general practices. The Executive Events Manager may provide direction to personnel, internal and external to Mayo Clinic, associated with each event. Accountable for project initiation, planning, executing, and closure. Regularly provides accurate and up-to-date project status information to project stakeholders while actively managing issues, risks and action items. Ensures event goals are well-defined and aligned with leadership objectives and are achieved. Identifies tasks required to meet project goals. Accountability for project schedules. May direct team members assigned to the project. Able to guide and direct activities across multiple professional disciplines and work units, and work effectively with various levels of management. Externally this position has frequent contact with vendors, contractors and consultants. Demonstrated leadership skills, including team-building, conflict resolution, negotiation, problem solving. Demonstrated ability to develop and maintain project schedules. Manage multiple projects concurrently. Requires the flexibility to travel and work weekends and evenings when necessary.

Qualifications
Bachelor's degree and 1 to 3 years' experience in event management or marketing or 8 years of experience in event planning and event management in lieu of a degree. Demonstrates leadership in project management. Experience managing project(s) involving multiple team members and including task assignment, working with key customers (internal or external), managing team and customer relationships and managing project deliverables. Applicants must be capable of working collaboratively in a complex organization. Incumbents will have demonstrated competencies in project management, leadership, and communications. Contributes to the Executive Office and Mayo Clinic in multiple areas and efforts. Excellent oral and written communication skills required. The incumbent must be able to work effectively in a consensus-style operation that expects and promotes teamwork. Must have ability to prioritize and manage workload and work effectively in a high-pressure, highly visible environment. Must show initiative by initiating process and program improvement within the Events program. Must be able to communicate and partner with Mayo Clinic VIPs and staff in a professional manner, and maintain a high degree of confidentiality. Work related experience in a health care setting is required. Robust negotiation abilities and strong presentation experience and capabilities are also required. Travel to Mayo Clinic sites and external venues required. None
