Responsibilities
Incumbent contributes to the analysis of internal and external opportunities related to operating goals, independently manages some or all of the implementation of assigned projects and outreach initiatives, and serves as an expert resource and mentors other internal/external research project personnel. Trouble shoots and resolves problems and contributes significantly to discussions on prospective project design, feasibility, project management, and outcomes measurement. Participates in designing, organizing, and monitoring projects, including budgets/financial management. Plans for, participates, and occasionally leads the education of internal and external staff required to carry out an assigned project or research initiative. Organize and participate in internal and external project workgroup, committee and/or advisory board meetings, teleconferences, and regional meetings; prepare written correspondence; develop brochures, exhibits, and web site content; write articles for newsletters, newspapers, and magazines; coordinate student rotations and community research experiences; present at national meetings; perform other activities and duties as assigned. Note: Position may require frequent travel to support community-based participatory research efforts.
Strategic Program & Event Coordination (.5 FTE)
- Lead logistical planning with direction from leadership; primary focus on venue selection, lodging, transportation, A/V, site access, catering, décor, and supply management to ensure seamless execution of MCCCC events.
- Collaborate with departments and Shared Services to jointly lead the planning and execution of collaborative events (Development and MC Executive Office engagements).
- Coordinate stakeholder engagement through invitation workflows, RSVP tracking, and attendee communications for internal and external events.
- Coordinate logistics for speakers and recruit visits, including collection of presentation materials, travel and lodging arrangements, CVs, biosketches, and contact details for key participants.
- Develop and distribute travel itineraries and agendas, serving as the on-site liaison to support real-time event needs with direction from leadership.
Executive Support and Operational Coordination (.5 FTE)
- Support MCCCC and Pioneering Science Associate Administrator including but not limited to: calendar management; committee support; plan, book, and expense travel; maintain CV and biosketch; proactively coordinate and help prepare opening remarks and briefing documents
- Subject matter expert on MCCCC distribution lists, mailboxes, and calendars
Qualifications
Note: Visa sponsorship is not available for this position, including F1 OPT STEM. Must be a U.S. citizen, permanent resident, refugee or asylee.
Bachelor's degree in public health, education, communications, or another related field. Applied knowledge and prior experience working with various research populations is preferred. Must have demonstrated excellent skills in leadership, communication, problem-solving, and work organization, along with strong interpersonal and project management abilities. Excellent oral and written communication skills are required. The ability to work independently and effectively with individuals at all levels both within and outside of Mayo Clinic is essential. Proficiency in desktop publishing, word processing, database applications, and website development is required. Candidates must be highly organized, efficient, capable of comprehending complex instructions and situations, able to manage multiple projects simultaneously, and able to function independently while exercising sound judgment in decision-making.

Monday through Friday; Hours between 7am and 5pm. Evenings as needed. This hybrid work arrangement supports a combination of offsite (remote) and on-site work according to business needs and requires living within commutable distance to the Mayo Clinic Rochester site.
