Responsibilities
The Instrument Tracking System Coordinator–Central Services reports to the Manager of the Central Services Department and directs the overall activities of the instrument tracking system and provides dedicated comprehensive technical support and consistent software, reporting, and analytics to Surgical Services, Endoscopy, and CS. This role will also be responsible to act as a liaison between the instrument tracking system provider, staff, facility information systems, and contracted software vendor. The Instrument Tracking System Coordinator manages new employee profiles and manages access for staff in the system. This role works collaboratively with multiple groups across Mayo Clinic and serves as a point of contact related to the instrument and scope system management. This position will plan and manage the implementation of new instrumentation in accordance with enterprise and regulatory standards including the State Department of Health, Joint Commission and Center for Medicare Services. This role will work collaboratively with clinical department Team Leads to develop instrument/scope tray count sheets, enter instrumentation and trays into the tracking system, add pictures/comments, and maintain the down time count sheet system. This role will also assist in the implementation and management of individual instrument marking/tracking processes as well as vendor tray management in the instrument tracking system. The Instrument Tracking Systems Coordinator also develops/enhances processes and electronic tools used to analyze trends, identify opportunities for further improvement, and monitors results of continuous improvement activities related to Surgical Services, Endoscopy and/or CS. Additionally, this role is responsible to provide information that will assist leadership in monitoring processes, and ensuring adherence to standard operating procedures related to instrument and scope reprocessing. The role provides reports and data to support fiscal management, quality assurance, utilization trends, and supporting the delivery of safe patient care. Works collaboratively with leadership, IT, hardware support to manage implementation of the instrument tracking system in new service areas as needed. The Instrument Tracking Systems Coordinator will also work collaboratively with education colleagues and assist with orientation and training of sterile processing employees and operating room staff related to the instrument tracking system; may be required to work after-hours and/or weekends on a limited basis for project implementation or training needs.
Qualifications
High school graduate/GED and two years of instrumentation processing experience in a hospital setting. Proficient computer skills and knowledge to facilitate data analysis with, but not limited to, the following programs: Excel, Access, Word, Windows and HTML (or web development). Must be able to work independently with limited direct supervision.
Preferred experience and qualifications include: Instrument Management System experience; Surgical Services experience; advanced knowledge of quality assurance, inventory control, project management, and continuous improvement concepts; excellent communication, organization and project management skills; previous supervisory/leadership experience or training. Sterilization Certification through IAHCSMM or CBSPD preferred; alternatively, must acquire within 12 months of start date.
