Responsibilities
Applies bilingual professional and medical expertise by exercising initiative and proficient organizational skills to perform a variety of duties in support of the International Services Office and the institution. Understands and is respectful of the significant cultural differences among our international patients. Serves as a bridge between their world and ours - explaining how the Mayo Clinic system works and providing guidance on how their visit can be of most value to them. Interacts with patients and/or referring physicians to schedule appropriate appointments or provide other information/services as needed. Performs duties independently and is able to recognize, interpret and evaluate medical conditions and their level of urgency. Maintains regular contact with medical specialty areas (physicians, secretaries, and administrators) as needed as part of the patient care team to ensure quality scheduling services. Exhibits confidentiality, flexibility, and accountability. Prioritizes heavy work volume in a fast-paced environment. Uses good judgment in handling difficult or critical situations.
Qualifications
EDUCATION : Some college preferred. EXPERIENCE : Minimum of 2 years medical secretary experience or formal training through vocational school or college. Ability to type a minimum of 55 wpm. Must demonstrate well-developed leadership and customer service skills. Must demonstrate superior written and verbal communication skills. Must possess strong multi-tasking and conflict management skills and the ability to solve problems independently. Proficient use of the Spanish or Portuguese language (oral and written). COMPETENCY: Masters Computer Systems and Office Equipment Usage:
1. Maneuvers accurately throughout Millenium applications while adhering to complex scheduling guidelines.
2. Navigates successfully throughout the Epic electronic health system record.
3. Places appointment orders in electronic MSR per physician direction.
4. Utilizes Microsoft Exchange for personal scheduling and e-mail messaging.
5. Uses Office 2000 (Word, Excel) accurately for all processing duties.
6. Operates copying, faxing, and printing equipment.
7. Performs as departmental superuser/lead for scheduling.
8. Utilizes Excel, Access, Adobe Acrobat. Practices and Promotes Teamwork:
1. Exhibits an understanding of the roles and responsibilities of team members.
2. Promotes harmony and maintains a positive, helpful attitude when working with individuals within and outside the work unit.
3. Does not gossip about co-workers or others.
4. Effectively manages anger, emotion and frustration.
5. Is self-motivated and works well with minimal direction. Asks for guidance when necessary and responds to guidance constructively. Performs Dependably:
1. Produces consistently high quality work.
2. Can be counted on to complete assignments on time.
3. Adjusts to change in a positive and supportive manner.
4. Uses resources appropriately, contributing to the department's efficiency.
5. Complies with Mayo Clinic's attendance standards. JOB KNOWLEDGE: Proficiency in anatomy, physiology and medical terminology desired. Understands international protocol and diplomacy.
