The Product Operations Coordinator coordinates the work of Mayo Clinic Press’ consumer books publishing plans from development through distribution and manages inventory in multiple locations to ensure that books are available for our customers and meet the highest production quality standards.
  • Accountable for book sales forecasting, inventory management and printing coordination for a growing list of new titles and backlist to support sales from multiple channels, including retail, direct marketing, email, social media and corporate bulk sales.
  • Assures that all book specifications are accurate, and that books are available on time and where needed to support Mayo Clinic Press business activities.
  • Collaborates with Mayo’s internal purchasing team, editors, designers, retail distributor, Marketing team and other operations team members.
  • Manages expenses as appropriate. Performs other duties as needed. Prior experience with book publishing operations is preferred.

Position description
Coordinates, monitors, and improves efficiencies associated with production, distribution, fulfillment, customer service and inventory management of products and subscription services.

This self-directed individual has strong listening and comprehension ability, strong written and verbal communication skills (to effectively present information and ideas), strong organizational and technical skills (managing timelines, applying operational procedures, coordinating processes and utilizing technical applications) and proven ability to manage multiple tasks in a fast paced environment. This individual will also need to provide input and support for process/workflow analysis, design, development, maintenance and enhancement of products, applications or support tools. The individual will need to be mindful of Privacy Requirements.

Associates Degree and at least 2 years of experience in order processing and fulfillment, ecommerce, customer service and/or inventory management. or a minimum of 5 years’ experience in coordinating order fulfillment and customer service management projects, working with multiple external vendors and platforms, and managing production/fulfillment efficiencies and costs.

Additional qualifications
Requires knowledge of book print production and working closely with printers throughout the production process, as well as monitoring order and shipping processes from external distribution vendors.

Must be a self-directed, process-oriented team player who has strong planning and organization skills to handle multiple tasks in a common timeframe.

Must have excellent listening, verbal and written skills to communicate clear, detailed instructions to printers, fulfillment vendors and web site hosting companies.

Must be proficient with Microsoft Office products, including Excel, Word, PowerPoint, Outlook, and have experience with Internet applications.
